Management Assistant Job Description

  • Job Title: Management Assistant (Non-Technological)
  • Department: Ministry of Agriculture and Plantation Industries, National Institute of Plantation Management
  • Grade: MA 1.1 (Grade III)

Job Summary:

The Management Assistant (Non-Technological) will provide administrative support and assist in the day-to-day operations of the National Institute of Plantation Management. The role involves handling various administrative tasks, maintaining records, coordinating activities, and supporting the management team in achieving organizational goals.

Management assistant Job Qualifications:

External Candidates:

  • Passed the G.C.E. (O/L) examination in six subjects with credit passes for four subjects, including Sinhala/Tamil Language, Mathematics, and English Language.
  • Passed three subjects (other than the general paper) at the G.C.E. (A/L) examination.

Internal Candidates:

  • Passed the G.C.E. (O/L) examination in six subjects with credit passes for four subjects, including Sinhala/Tamil Language and Mathematics.
  • Completed a minimum of five years of service in a permanent post under the employee category of Primary level - skilled or Primary level - unskilled.

Management Assistant responsibilities (General)

  • Provide general administrative support to the institute, including filing, documentation, and record-keeping.
  • Assist in organizing and coordinating meetings, workshops, and other events.
  • Prepare agendas, take minutes, and maintain accurate records of meetings.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls.
  • Assist in the preparation of reports, presentations, and other relevant documents.
  • Perform data entry tasks and maintain databases or information systems.
  • Assist in managing and maintaining the institute's inventory of office supplies and equipment.
  • Coordinate travel arrangements and accommodation for staff members as required.
  • Assist in the recruitment process by preparing job advertisements, receiving applications, and scheduling interviews.
  • Provide support in monitoring and tracking project activities.
  • Maintain confidentiality of sensitive information and adhere to data protection policies.
  • Collaborate with team members and contribute to a positive work environment.

Salary and Benefits:

  • Salary Scale: MA 1.1 - Rs. 27,910/-10x300/-7x350/-4x495/- 20x660/-48,540/- (At the beginning, the salary entitlement is Rs. 27,910/- and other Government-approved allowances).
  • EPF and ETF Contribution: The institute will contribute 12% and 3% respectively from the basic salary to the Employee Provident Fund (EPF) and Employee Trust Fund (ETF). The employee's contribution to EPF will be 10% of the basic salary.
  • Contributory Medical Insurance Scheme: Coverage for the member and immediate family members.
  • Free Transport: Transport provided from and to the nearest town (Kottawa/Kaduwela).

Selection Process:

The selection process will consist of a written competitive examination and an interview conducted by a professional interview panel.
